The Role

Due to continued business growth, we are looking for an experienced Practice Manager / Executive Assistant to support the Directors with achieving the business objectives. You will be part of the backbone of our executive team, taking ownership of tasks to ensure operations run smoothly. Your role will be dynamic, as you adapt to the evolving needs. There will be traditional management / administrative duties as well as strategic business partner elements. This role requires a proactive approach to client service, exceptional problem-solving skills and the ability and willingness to learn new things. Managing workload, stakeholders and deadlines will be a key part of the role. The successful team member would be an A player and work to make the directors more effective and help them achieve the business’ targets.

The Responsibilities

  • Lead from the front, providing proactive support and strategic insights to the directors and collaborate closely with the directors
  • Maintain positive client relationships and provide excellent customer service as second nature
  • Drive improvements in the business and document processes
  • Prepare management reports, analyse financial data and identify any gaps, supporting the directors’ decision-making
  • Manage and optimise the directors’ schedules, aligning it with strategic business priorities and booking events and travel
  • Act as a trusted liaison between the directors and various stakeholders, including clients, business partners, authorities and business sellers
  • Oversee the delivery of practice admin which may involve learning specific details like filing deadlines, tax years, etc.
  • Manage the practice admin outsource team in India, ensuring the accuracy and timely delivery timely of invoicing and annual client contract renewals
  • Run the invoicing, credit control and contract processes, from end-to-end, ensuring a high level of customer satisfaction

This role includes traditional accountancy tasks and also goes beyond this; it involves acting as a commercial sounding board for the client, guiding clients through their financial journey with strategic advice and actionable insights.  There will be a mix of traditional year end work and providing virtual finance manager and virtual finance director services. This role requires a proactive approach to client service, exceptional problem-solving skills, and a strong understanding of commercial drivers.  Managing workload, stakeholders and deadlines will be a key part of the role.  There is an opportunity to help shape the service provided, with the ideal candidate being able to suggest improvements and additions to the virtual finance manager and director service lines.   The responsibilities:
  • Client Relationship Management: Act as the first point of contact for clients, especially when they have new ideas or require guidance, ensuring a high level of service and support.
  • Data Management and Improvement: Oversee the accuracy of financial data, identify areas for improvement, and alert clients to potential pitfalls in a timely manner.
  • Financial Oversight and Advisory: Support clients in understanding their financial figures, helping them interpret data to make informed decisions. Provide a "second opinion" and evaluate the pros and cons of potential business moves.
  • Financial Reporting: Produce comprehensive reports that include profit and loss, balance sheet analysis, customer analysis, and bank balance reviews, adding valuable commentary and comparisons to highlight significant changes.
  • Financial Analysis: Conduct regular financial analysis, including bank reconciliations, monitoring of outstanding sales, and checking for missing purchases. Alert clients to potential issues, such as outstanding invoices or unnecessary expenses.
  • Strategic Planning: Offer strategic advice on cash flow management, foreign exchange, and other critical financial areas. Provide detailed reports with useful analysis, comparisons, and commentary to assist in strategic decision-making.
  • Client Portfolio Management: Manage your portfolio of clients to ensure that submissions are all delivered ahead of deadline, including accounts, VAT returns, etc.
  • Self Development: Drive and motivate yourself to acquire new knowledge and skills to be the best that you can be. We will provide support in this.
  • Team Development: Sharing knowledge, experience and insights with team members to help improve team performance. Delegate where needed – we believe strongly in the Task Triangle and Delegate to Elevate.
  • Business Development: Identify, communicate and implement opportunities to improve processes that contribute to the improvement of the business.

This role offers a structured training program encompassing daily client interactions, monthly accounting tasks, and involvement in value-adding projects, providing a comprehensive understanding of the accounting profession.   The responsibilities:
  • Assisting with Accounts Preparation: Collaborate with senior accountants to gather financial data, reconcile accounts, and prepare accurate financial statements. Ensure timely submission of accounts to regulatory authorities.
  • Assisting with VAT Preparation: Compile and analyse transactional data, prepare VAT returns, and ensure compliance with tax regulations. Ensure timely submission of VAT returns to HMRC.
  • Liaising with Clients: Cultivate strong relationships with clients by serving as a primary point of contact, addressing enquiries, and providing tailored support.
  • Phone Calls: Handle incoming phone calls from clients promptly and professionally, providing assistance, resolving issues, and ensuring client satisfaction.
  Ad Hoc Tasks:
  • Engaging in Business Process Enhancement Projects: Participate in diverse projects aimed at enhancing clients' business processes, such as process automation initiatives or the implementation of new standards, to optimise efficiency and effectiveness.

This role requires a proactive approach to client service, exceptional problem-solving skills, and a strong understanding of tax legislation.  The ability to research a topic using publicly available materials, e.g. HMRC Manuals, and subscription services, e.g. Croner-i and Indicator libraries, and draw conclusions from this is imperative. Managing workload, stakeholders and deadlines will be a key part of the role.   • Lead training and knowledge-sharing sessions to keep the team updated on tax changes, implications and opportunities
  • Attend calls and meetings with key clients to identify tax-saving opportunities and provide strategic advice
  • Manage and deliver specialised projects such as setting up family investment companies, linked investment companies, obtaining EIS status and more
  • Manage and deliver intricate projects like demergers, incorporations, trust formations and inheritance tax planning, working with contractors and white-label service providers
  • Employ a solutions-based approach to meet clients' objectives effectively and efficiently
  • Ensure clients operate in the most tax-efficient manner, focusing on the optimization of their company structures and operations
  • Develop and maintain expertise in the property sector's specific tax rules, including VAT rates, group asset transfers, and distinctions between trading vs. investment statuses.
